SendCloud

SendCloud is a shipping platform that does not read live edits. Orders must be finalized before SendCloud downloads them.

Integration method required: ON-HOLD Tag Flow


How SendCloud Downloads Orders

SendCloud downloads orders immediately when they are created in Shopify by default. This needs to be modified to accommodate the editing window.


How the Integration Works

This integration creates a grace period by using an "ON-HOLD" tag to delay downloads:

  1. Order created → "ON-HOLD" tag applied immediately

  2. Grace period active → Customer can edit order (editing period set by merchant)

  3. SendCloud does not download → Order skipped due to "ON-HOLD" tag

  4. Grace period ends → "ON-HOLD" tag removed

  5. SendCloud downloads order → Order sent with all edits included


Setup Instructions

Step 1: Import ON-HOLD Tag Master Flow

  1. Download Order Editing Master Flow (Tag OE-HOLD).flow

  2. Navigate to Shopify Admin > Apps > Shopify Flow

  3. Import the Flow file

  4. Configure timing to match your editing deadline (e.g., 30 minutes)

  5. Activate the Flow

  6. Save

What this Flow does:

  • Applies "ON-HOLD" tag when order is created

  • Removes "ON-HOLD" tag when editing period ends

Note: Payment capture settings in Shopify do NOT need to be changed. Leave on Automatic.

Step 2: Configure SendCloud Import Settings

Critical: SendCloud must be configured to skip orders with the "ON-HOLD" tag.

How to Configure:

  1. Log in to SendCloud

  2. Navigate to Settings or Shopify Integration Settings

  3. Configure order import filters:

  4. Do NOT import orders tagged with "ON-HOLD" (or "OE-HOLD")

  5. Ensure the tag name matches exactly what the Flow applies

  6. Save settings

Why this matters: Without this configuration, SendCloud will download orders before the editing period expires.


Settings Summary

In Shopify:

  • Payment capture: Automatic (no change needed)

  • Shopify Flow: ON-HOLD Tag Master Flow active

In SendCloud:

  • Import filter: Skip orders with "ON-HOLD" tag

In Order Editing:

  • Editing Deadline: Configured


Testing

Test before going live:

  1. Place test order

  2. Verify "ON-HOLD" tag is applied immediately

  3. Check that order doesn't appear in SendCloud

  4. Make edits during editing window (add/remove items, change address)

  5. Wait for editing period to expire

  6. Verify "ON-HOLD" tag is removed

  7. Confirm order appears in SendCloud with all edits


Troubleshooting

Orders appearing in SendCloud too early: Verify SendCloud is configured to skip "ON-HOLD" tagged orders

Orders not appearing after grace period: Check that "ON-HOLD" tag is being removed by the Flow

Tag not appearing: Review Flow configuration and verify it's active

Tag not being removed: Confirm Flow timing matches your editing deadline and Flow is completing successfully

Wrong tag name: Ensure SendCloud filter uses exact tag name from Flow (case-sensitive)
